Voucher for travel, fair tickets and similar activities

Purpose of the Travel Voucher:
Are you looking to expand your network, gain international exposure, and position your company on the right stage?
Do you want to connect with potential partners, customers, or investors beyond your local ecosystem?
This voucher supports startups participating in relevant events, conferences, and activities – both internationally and nationally – where physical presence can accelerate your growth and visibility.

Who can apply:
All Beyond Beta participants with a Danish CVR number.

Follow these steps when applying for and spending a voucher:

1. You apply for a voucher
   To get started, you need to submit an application in which you describe your company and the activity(s) you wish to apply for a voucher for. Remember to describe what value you expect from the activity. The Beyond Beta team reviews your application and either approves or rejects it. 
2. Beyond Beta approves your application
   Once you have received an approval, you need to sign the approval letter and at the same time accept the terms and conditions of the voucher.
   When you have signed the document, you can begin your next step.
3. You search the market
   When using EU fund money, you need to make sure that your purchase is in line with the market prices in general.
4. You submit your expenses
   After checking the market, you can purchase the relevant tickets and accommodation etc. 
   When you have made your purchase, you log into your profile again and go to My Vohchers. Click on your active and relevant Travel Voucher and upload your payment documents directly in the system.
   You need to upload:
   1. The invoice for your purchase
   2. The receipt for your purchase (this should be the extended proof of payment from your online bank in PDF format)
      If everything is in order, you will receive your grant within a maximum of two weeks. Please note that processing times may be longer during holidays and similar periods.
5.  Beyond Beta refunds 80% of your costs
   We will generally refund your costs within a maximum of two weeks from the time you submit your expenses (with sufficient invoice and receipt)

What is covered by the voucher:

Covered:

• Train tickets
• Plane tickets
• Conference/event tickets
•  Fees for booth rental at conferences
• Hotel

NOT covered:

• Expenses related to transport in private car (such as electricity, petrol, or diesel)
• Parking tickets
• Car rentals
• Meals during the event
• “Stuff” for showcasing (such as making a roll-up or other marketing materials)

We split the bill 80/20:
Beyond Beta refunds 80% of your expenses up to DKK 15,000 ex VAT per company.
Examples:

1. You pay for a conference ticket and a train ticket – the total cost is DKK 6.000 ex VAT. Beyond Beta covers DKK 4.800 and you hold the cost of DKK 1.200.
2. You pay for conference tickets and plane tickets and hotel for 3 founders in your company – the total price is DKK 21.000 ex VAT. In this case 80% is DKK 18.750, and Beyond Beta will cover DKK 15.000 of these.

Note: we can only cover your expenses if you have signed the application approval document and completed a market search. This must be done prior to making any purchase!”

How to do a market search before your purchase:
To receive the subsidy payment, it is a requirement that you have conducted a market search prior to making the purchase. This is necessary because your company receives public funds through this voucher. When public funds are granted, it must be ensured that the money is used responsibly and in an economically sound manner.

This means that purchases must be made on market terms. When selecting a supplier, you must evaluate the supplier based on price and the overall quality of the service. You are not required to choose the cheapest option, but you must be able to explain why you selected the supplier and demonstrate that it is a reasonable choice in accordance with prevailing market conditions regarding price, quality, and service.

You can search the market in following ways:

• Advertise for offers on your own or another website
• Check at least two supplier’s websites and find comparable prices
• Search the market by phone and find the best one for the price
• Obtain quotes from at least two suppliers by email or telephone

Please note that we may request an explanation of the market search process used in connection with possible spot checks by the Danish Business Authority.
